As a Contracts Administrator you will be the first point of contact with all incoming customer enquiries, working within a team who guarantees a warm, friendly greeting and a “can-do” attitude to achieving results for all their customers. 

Working closely with the Office Manager, Contracts Managers and Estimating Team, the role involves supporting the contracts administration and customer enquiries for the business, based in modern office space in Inverness.

 

THE POSITION

You will support with the day-to-day administration of the office, including handling all incoming customer enquiries.  The ability to multi-task, while maintaining complex schedules, is essential in this position.

The ideal candidate for this job will be personable, customer focused, a good problem solver and organised. Ensuring a steady completion of workload in a timely manner is key to success and will exceed customers’ expectations.  This is a full time, permanent position working Monday-Friday  8am – 5.00pm.

 

Responsible for:

  • Answering all incoming calls and respond to customer enquiries in a timely and efficient manner.
  • Liaising with customers and contractors booking surveys, installations, repairs, and maintenance.
  • Manage workflow by assigning jobs to other engineers daily, ensuring that deadlines are met, and work is completed correctly
  • Typing up quotations for small works and emailing out to customers, using MS Word and MS Outlook for emails.
  • Preparation of handover packs and distribution to customers.
  • Data entry to update customer database.
  • Assisting Office Manager with any other admin tasks as appropriate.

 

PERSON SPECIFICIATION

To be successful in this role you will have:

  • National 5 / Standard Grades – English, Maths and SVQ Level 3 Business & Administration or equivalent experience
  • Relevant administration experience in a Plumbing/Heating / Building or Construction Firm preferred but not essential.
  • Proven IT Skills with experience of Microsoft Office.
  • Strong attention to detail is essential.
  • Personable and confident communication and interpersonal skills, with the ability to relate to and work with colleagues, customers, and contractors.
  • Able to work as part of a team to ensure team objective and targets are met.
